Key Job Functions & Responsibilities:

Responsible for Project Management across all Client Accounts.

Ensure full-time team members and contract employees, including Strategists, Analysts, Specialists and Coordinators (on relevant accounts), are creating excellence through responsiveness and strategic execution for clients through all service lines under client contract:

  • Fully understand and embrace the agency's core values surrounding providing excellence to clients through results-driven work and responsiveness

  • Attend internal and external meetings in order to serve as liaison between relevant managers, team members and clients in order to keep track of additional initiatives/tasks that come up, project status and overall project health

  • Proactively lead and connect core service lines and team members with additional service lines (branding, design, website, email marketing, etc.) to ensure deadlines are met and all services properly integrate

  • Responsible for project management/follow through on operational plan for team based on scope and client budget

  • Make sure team members are staying on top of day-to-day tasks, ensuring team members are on pace to deliver on or ahead of schedule, delegating as necessary and optimizing team members’ work hours according to client profitability

  • Delegate tasks between team members and work with relevant service line managers to assign or redistribute daily tasks when necessary for team members’ growth and development

  • Add tasks to client task list (or ensure individual team members do so) in response to client texts, emails and individual requests

  • Ensure proper plans are in place for delivering client work when team members are out of office, including communicating with client and prioritizing tasks

  • Work with Senior Manager, Client Accounts to develop plans in the event of team member dismissal or leave to prevent lapse of service for clients

  • Liaise between team members to facilitate open dialogue and collaboration that deliver comprehensive, strategy-aligned solutions to clients

  • Monitor when daily tasks and larger strategic initiatives stray away from both clients’ and agency’s missions

  • Organize and keep team members on track for internal and external client meetings on an ongoing or as-needed basis

  • Lead internal team meetings to brainstorm, review and delegate client campaigns, individual deliverables or tactics, etc.

  • Take notes (or ensure other team members are taking notes) during team brainstorms and internal/external meetings and develop or ensure team is working together to develop agendas

  • Input (and follow up on) all action items from agendas into Teamwork after meetings

  • Circulate notes and any relevant resources, planning documents or strategic documentation to team in advance of or after meetings

  • Deliver weekly status reports, monthly or quarterly measurement reports, strategy documents to clients in timely manner, ensuring all team member input is thorough and on or ahead of schedule (goal: send client status reports by noon each Monday)

  • Build out client projects based on strategy documents and pop-up tasks that arise through the course of the client relationship

  • Identify missed opportunities and react; bring ideas to the team from competitors, industry leaders and current events

  • Proactively lead account teams with anything needed for the clients that may be outside of the scope of work but can add value to the account (graphic design, printing, video, copywriting, etc.) and/or connect client or Managers to relevant team member (Graphic Designer, service line Managers, Senior Manager, Client Accounts, etc.)

  • 3-5 years of experience in project management, strategic marketing or communications, public relations and/or digital marketing!
  • An obsession with staying organized and working on or ahead of schedule...and helping others do the same!
  • Experience working within, managing and/or overseeing project management softwares and systems!
  • Past experience working within agency or fast-paced, professional services settings!
  • The chops to bring a strategic vision to life in partnership with an integrated team!
